What is a sales order and when should I use it?
A sales order records a confirmed customer order before you raise the invoice.
Use it whenever there's a gap between the order being confirmed and the goods being delivered or billed, for example, a cake ordered on Monday for Saturday delivery, or a bulk order shipping later in the week.
It keeps a record of what was committed without affecting your books yet.
How do I convert a sales order to an invoice?
Open the sales order and select Convert to Invoice.
The customer details, items, quantities, and rates all carry over automatically, and you can still edit anything before saving.
Can I partially fulfil a sales order?
Yes. When converting to an invoice, change the quantities to match what you're actually delivering.
The sales order status then updates to show how much is still pending, so you can invoice the balance later from the same order.
Does creating a sales order affect my stock?
No. Stock is only deducted when you create the invoice or delivery challan, not at the sales order stage.
This means unconfirmed or cancelled orders never lock up stock you could be selling to someone else.
Can I track the status of all my sales orders in one place?
Yes. Go to Sales Orders from the main menu to see every order grouped by status: Pending, Overdue, Partially Cleared, and Cleared.
