Purchase Bill
What is a purchase bill and why should I record it?
A purchase bill is the invoice you receive from your supplier.
Recording it does three things: it tracks what you've spent, it adds the goods to your stock, and it captures the GST input credit you can claim while filing.
Skipping purchase bills is the most common reason profit and stock figures look wrong.
How do I record a purchase bill?
Go to Purchase Bills → Create. Select or add the vendor, add the items purchased with quantities and amounts, and save. Stock is updated automatically for catalogue items.
Do I need to record every purchase bill?
For accurate profit tracking and GST input credit, yes. At minimum, record purchase bills for all GST-registered vendor purchases. For non-GST purchases (like cash purchases from the local market), recording them helps with expense tracking and profit analysis.
Can I attach the original vendor bill to the purchase entry?
Yes. Use Attach File while creating or editing a purchase bill to upload a photo or PDF of the original document.
The proof stays linked to the entry, which saves considerable time during an audit or a GST query.
How does a purchase bill affect my reports?
Purchase bills feed into: Stock Reports (for stock value), and Business Reports (for expense tracking). Without purchase bills, profit reporting is incomplete.
